Governing Body Meeting  Protocols

 

Responsibilities of Chair of Committees/Meetings

 

  • Arrangements for the meeting i.e. date/timing.
  • Setting the agenda for each meeting in consultation with the Head Teacher with whom a meeting should ideally be held a week in advance of the meeting date.
  • Ensuring that any papers for the meeting are circulated to sub committee members in advance by the Clerk to the Governors.
  • Immediately before each meeting to check with the Clerk to the Governors on apologies for absence and to ensure there are sufficient members for a quorum (normally one half of the membership)
  • Exercising a second (or casting vote) as necessary.
  • At the end of each meeting agreeing with members on the main conclusions/recommendations to be made to the next full GB meeting by the Chair (or vice Chair in their absence).
  • Agree and approve meeting minutes at the next committee meeting.

 

Reporting Mechanism

All governors have been trained in the use of Hwb and have accounts, This enables all parties to view the notes and minutes  from all sub committees.  Any confidential notes, for example in the case of disciplinary or complaints, will be saved in another location. 

 

School Visits

A member of each subcommittee is to attend the school each term to gather first hand evidence against the school development plan targets.  This will enable the governor to feed back on the level of progress the school is making.
